Opening Keepsake app for the first time  Once you have downloaded Keepsake App from the App Store, click on the Keepsake App Icon to open it on your Iphone or Ipad. You can use both devices if you have them and the same information you enter will be able to be seen on both. You might like to use your Iphone for taking the photos and your Ipad for filling in the details and editing, either device will work fine.        You will arrive at what we call the Tutorial Screens. This gives you an introduction to what is in the Keepsake app and an example of what it will look like on your phone. To move to the next screen either tap NEXT or just swipe with your finger to the left. If you don’t want to see the tutorial screens you can click Skip in the bottom left hand corner.            Keepsake manages the whole process of organising, recording and gifting your special objects along with their memories.  The objects may not be worth a lot of money, but are they always valuable and special to you, and the memories around them are priceless.          When you sign into the Keepsake App you can use the inbuilt camera or upload photos you have already taken.      You can write about your special object and record its story as well. Or perhaps there is some music that you want to include as part of your description. You can record how much it’s worth, where it is now for example, or just have a simple description.  It’s your Keepsakes, so you get to choose what others will read and hear.   You can email someone from within the App, telling them that you would like them to have the special object. You can do that straight away once you have entered the information, or later, which gives you the ability to think about who might like it. You are asked to nominate someone to manage your things in case you need some help, we call that person a Legacy Contact.

Sign up and Log in Screen

This is the screen you will see every time you open the Keepsake App. You have the choice to sign up with Facebook or with an Email Address and a password. You need to login the same way every time, either with Facebook or with email. Make sure you store your email address and password somewhere safe. If you click Sign up with Facebook, you will be taken to your Facebook to authorise your account. If you sign up with Email you will be taken to a screen to enter your details. Keepsake App Signing up with Email Enter your name – this will be the name of the account in Keepsake. Add your email and a password which should be more than 6 characters in length. Do not use a password that you use for other accounts. Make a note of the email address and password you have signed up with as you will need these to log back in with. Click Sign up for your free account.

Getting to Know Keepsake App

You can download Keepsake App from the Itunes App store on to your Ipad or Iphone. You can work on your collection from using both as your collection will be saved for you in the Cloud. This is the first screen you will see once you sign up. The top bar which is dark blue has a circle with your initials in it, or your Facebook picture if you signed up with Facebook. If you click on the circle you can go to settings. *In the Keepsakes Settings Guide you can find out how to change the initials to a photo of yourself. Clicking on the magnifying glass will take you to Search which will be helpful when you have loaded objects into the Keepsake App and you want to find something quickly. Start typing any words that are in the keepsake’s name and the objects will come up in the screen. You can also use it as a short cut to get to a particular group or category. This button will take you to your library of Keepsakes. You can choose how you want to see your keepsakes

  • Ordered from A-Z
  • Sorted by the people you want to give them to
  • Sorted by the groups your recipients are in
This button will take you to the gallery view which is a simplified view of your keepsakes. Swipe on the photos to see your whole collection. Click on any one of the keepsakes and it will take you into the details where you can edit them if you want to. This button will take you to the Categories. You can also create your own categories by clicking on the plus at the bottom ( you might have to scroll down if you are using a smaller iphone). There are numbers on the categories which show you how many things you have entered into each.one.

Adding a Keepsake Photo

If this is the first time you have added a Keepsake, you will see the words “Let’s get Started” and an arrow pointing to a camera. Click on the Camera to start adding Keepsakes Your first task is to add some photos of your Keepsake. After you have added your first Keepsake, you will just see the Camera icon. Click the words “Add Keepsake Photos’ or the Camera icon in the dark blue blob. You will be asked if Keepsake App can access your camera, click yes. You will also be asked if Keepsake App can access your stored photos, click yes so that you can access any photos you might have already taken and saved on your Iphone or Ipad.. Note that you can’t save or move to the next step until you have a photo with a name and a category. Let’s use a favourite handmade chair as an example. All we want is a photo of the chair with no cupboard or jug. You have the option to
  • retake the photo and start again
  • crop it – which means to change the size of the photo and focus just on the chair
  • use the photo
Tapthe white intersecting cropping icon at the bottom of the photo to crop it. Use your fingers to adjust the white frames at each corner of the photo. This is the cropped photo which now focusses on the chair. If you have taken the photo on the side you can use the arrow at the bottom left corner to rotate it until it is correct. If you keep clicking the arrow it will turn 360 degrees until it is the right way up again. If you want to try cropping the image again you can use the grey circular arrow which will take you back to your original photo. Or if you are happy with the cropped photo click save. Your Chair now needs a name that will help you identify it. Give the chair a category, in this case Homewares. You can also make your own categories with their own photos if you like. Underneath the Category Pictures there is a Plus button so you can make your own Categories if you need something more specific. The numbers next to each category show how many objects you have in each one already. You can add up to 4 photos for each Keepsake. To do this click on the camera icon in the bottom right hand corner of the first photo you have taken. Note the little white dots under this photo, that shows that there are multiple photos for this Keepsake. If you have already taken 4 photos you will get a message on the screen when you try to take a fifth photo, click ok. To delete a photo, click on the X in the top right hand corner of the photo. Once you have your photo, name and category you are ready to save your object and work on it later, or keep going and add some details

Adding Details

Adding Details to a Keepsake

You have a photo of your Keepsake with its title and category. If you want to change these later you can come back and edit them. Click the Enter Details button on the right if you are ready to start entering some details. Enter Keepsake Description allows you to type some details or cut and paste some words from somewhere else. Sometimes people like to write things out first and then add them in. The description can be something personal or specific details about the item or a combination of both. Click on the Record the Keepsake’s story which will open the recording screen. Recordings are only limited by your imagination and what is meaningful for your Keepsake! Because you can record up to 4 recordings, you can record a variety of things. When you are ready to start recording, click on the circle in the middle of the screen which will start your first recording (you can make up to 4 separate recordings.) When the yellow circle is on, you are recording. When you want to stop recording, push the circle again. You can pause and restart your recording if you like. Once your recording is finished, you can either save it or delete it. You will be able to listen to it in the next step and decide if you want to keep it. If you click, delete recording, you will be asked if this is what you want to do before that recording is deleted. Clicking save will take you back to your list of recordings. You can
  • Listen to each recording
  • Record another story (up to 4)
  • Delete recordings – click on the orange bin
To return to the Keepsake Details click Save. You can always come back and edit your recordings Save takes you back to your Keepsake’s page, you can see the words “Listen to the Stories” which takes you to the recordings you have made Add more details, pick a recipient or save now and finish later. Fill in the areas that are relevant to each Keepsake. For example, if it is your Wedding Photo, you may not want to record how much it cost or is worth now, but you might like to say where you have stored it. When you are finished click save and you can pick a recipient if you like, or leave that for another time.

Adding a Recipient

Click on the Pick Recipient button A recipient is someone who will be able to read and hear what you have entered. They will only be able to do this if you choose to send them an email, which you can do from within the app. That will send them a link and they can read about the specific items you have assigned to them. You can do that straight away or later, the details will remain there. At any stage before you send out the email, you can change who you would like to give your stories to. To add your first recipient, click on the plus sign. If you aren’t sure yet, just click Not sure yet. Clicking Not sure yet will take you back to the Keepsake Details. You can return later and edit the recipient if you want to. You can add your recipient in either of two ways. Either just write their name and email address in if you know it. Or alternatively, if you have your contacts saved in your Iphone or Ipad, you can Add from Phone Contacts. Start typing the name of the person you are looking for in your contacts. If they already have a photo saved in your contacts that photo will be saved too. Recipients are organised into groups in Keepsake. Click on the group your recipient belongs to. When you have chosen the person, click save. You also have the option to leave them a special message at this stage. Click Save to return to your original Keepsake Screen where you entered your photos. Your Keepsake is now ready to save and join your collection of special things. Your Keepsake is now in your account All the objects you save will be in your list of keepsakes. You can choose to view them by:
  • most recent
  • A-Z
  • By the people you have given them to
  • By the groups they are in
Once you have saved a keepsake you can choose to post a picture and a short description on your Facebook. You can email a recipient or leave it in your collection with details and a link to be sent later. Your Legacy Contact can help with this if you need. The email is sent from the app only when you click Email Keepsake. You can change the contents of this email if you wish. The recipient will get this email notifying them of the object and inviting them to download a copy of the app so they can read and hear what you have recorded for them. You can also leave them a special written message if you like when you choose them as the recipient.

Settings

There are two ways to get to settings. Click on your initials or Facebook Picture in the top left of the Keepsake App. OR Swipe the screen to the right Clicking on the plus next to your initials will let you create a separate collection of Keepsakes for someone else, such as your partner or mother. Their Keepsakes, recipients and legacy contacts will be totally separate from yours. You can create multiple collections. To change profiles swipe to the left. The profile settings and items for that profile will change automatically when you do that. Swipe the screen up and down to show all 3 sections in settings Profile Settings Legacy Contact Legacy Contacts are people you trust to manage your Keepsakes if you ever need help. You can appoint more than one Legacy Contact, for example your partner and your lawyer. Each of them will be emailed information including a link to download Keepsake App which will have your collection prepopulated. They can’t change any of your details but can view your items, print off a report and send out emails to your recipients letting them know you have given them something if you want them to. If you create extra collections on your app, for example for your mother and father, you will have full control of their objects. They can appoint separate legacy contacts who can access the app and their objects. When you save the Legacy Contact they will be automatically sent an email notifying them. The pencil next to their name will let you add a photo for them or change their name or email address. If you change your mind about having them as a Legacy Contact, go into Legacy Contacts in Settings and click the X next to their name, They will be sent an email thanking them and letting them know. Their access to your Keepsakes will be removed. These are the emails that are sent out: Email appointing a Legacy Contact ear [ name of person you want to be your Legacy Contact] [Your name] has asked us to write to you. They are using an app called Keepsake to record their favourite possessions and why they are important to them. If anything happens to [your name] they would like you to be able to access the list of these things and who they would like to have them. Email removing a Legacy Contact Dear [ name of person you want to be your Legacy Contact] [Your name] would like to thank you for offering to help them with managing their Keepsakes. [Your name] has now changed their Legacy Contact in Keepsake. You will no longer be able to access [your name]’s things in the Keepsake app. You may continue to use Keepsake for your own collection, remember to appoint your own Legacy Contact. Recipients Recipients are people you plan to give your special objects and the recorded memories to. You can create them when you are uploading the object or in this area. All recipients need to belong to a group. Adding Recipients is done the same way as when you add them in the Keepsakes area. You can edit your Recipient’s email addresses or even delete them here. You can make new groups here, for example you might have two family groups you would like to keep separate or a new specific organisation like Guide Dogs. Click on the plus with the words Add New Group. Adding a New Group Write the name of the group. You can also add a photo for the group by clicking on the camera with the plus next to it and choosing one from the photos on your Iphone or Ipad, or take a new photo. Export in Settings You can select to print or email a report. There are two types of reports. The report on the left has all the information you have entered for each Keepsake. It is a useful report to send your Legacy Contact or print out if you want to go through your entries in a written form. The report on the right is a summary report. This is useful for printing into a booklet for all your family to have a copy of your Keepsake photos and the short descriptions about the items. For each style of report you can choose which information you would like to include in the report. Clicking on each button lets you select which Recipients, Groups and Categories you wish to include in the report. Or you can click Generate Report if you want a report on everything. Generating your report might take a few seconds, but it did take you a long time to collect all the things! Please be patient, your report is being created and worth the wait. Your report will look like this if you choose the comprehensive option with all the details, it’s a bit like a stocktake. or this one if you are looking for a summary report to print out as a booklet. Editing a profile Clicking on this allows you to change or add your profile picture. If you have saved collections for multiple people, you can also do the same for them or even delete their collection. Upgrade Keepsake Keepsake is a free to download The first 5 items you store are free. If you like the Keepsake App and want to store more items for yourself or your family, you can purchase them in batches from the Upgrade Keepsake button. This will take you to your Itunes account where you can authorise the payment. You can check at any time how many Keepsakes you have in your kitty. Watch out for specials! Change Email (Email sign in only) You cannot change your email address here if you signed up with Facebook. This allows you to change the email address you sign in with. Remember to make a note of the new email address. Change Password ( Email Sign in only) You cannot change your password here if you signed up with Facebook. First enter the password that you signed in with, then enter your new password twice. Keep this new password in a safe place Sign out If other people are using your Iphone or Ipad you might want to log out of your account when you are not using it, otherwise you may remain logged in.
